A few years ago, I had a VA, Will, who was absolutely phenomenal. Everything ran smoothly, our communication was seamless, and I felt so supported. He learned super quickly, and I could see him continuing to grow into a higher-level role.
Then, right before we hit two years of working together, he got an incredible job opportunity—a salaried position, pay increase, and full benefits. He enjoyed our work together, but the offer was too good to pass up.
If I had been attached to having Will on my team (rather than the role he played) I probably would have panicked. I would have felt lost, and my business (and my clients) might have suffered.
But because I had complete clarity on why our working relationship was successful, I was able to say:
“I’m so excited for you! Let’s create a transition plan before your new job starts.”
And then? I found someone else to fill the role on my team—someone who was just as aligned, just as supportive, and could integrate into my business with ease.
That kind of transition doesn’t happen by accident or luck.
It happened because I had clarity and I had a system.
I was able to quickly and confidently hire someone new because:
1. I knew exactly what I needed: the values I look for, how I like to be supported, and the communication style that works best for me.
2. I had a hiring process I trusted: one that helped me define the role and establish guidelines to identify who was genuinely the right fit.
When you’ve clearly defined the position, understand the qualities that matter most to you, and have a system to help you find people who align—you’re not reliant on one person to hold it all together.
